Data Protection Policy

The Management Committee is committed to protecting and respecting your privacy. This Data Protection Policy sets out the basis on which any personal data we collect about you, or that you provide to us, is processed by us. We may collect and use different kinds of data about you:

● Contact data: such as your email address, telephone number, emergency contact information, and correspondence address. This is used to maintain membership records; to contact you concerning your membership and club activities; and ensure health and safety regulations are met.

● Identity data: includes data such as first name, last name, date of birth, payment history. This allows us to verify your identity, apply concessions where appropriate and ensure that all members keep up their subscription payments.

● Health data: includes data relating specifically to your training at the club and can include any health issues you have reported to us and statistics on your rowing. We use this data to protect your health, optimise your training, and manage teams for competitions.

How we use and update your data

We hold your personal data where we have a lawful basis to do so in order to operate the club and we will only ever use it for this purpose. We will not transfer your personal data outside the club.

We share relevant information with coaches, squad captains and the safety or welfare officer (eg medical and emergency contact information, rowing experience, health information where relevant to your activities). We will use your phone number in a squad WhatsApp group for your squad, to communicate about outings, including cancellations and other urgent updates; and in an All-FSC WhatsApp group for occasional urgent and important messages to the whole Club. In the latter, only admins send posts; and only admins and/or those already in a group with you can see your name.

You are responsible for updating us when your personal information changes such as a change in your medical needs, email or phone number. We will carry out an update process, usually annually, but the responsibility for updating us lies with the individual.

If you decide to leave the club, when you tell us (by emailing the Membership Secretary) we automatically remove all personal information within three months, unless you expressly tell us that you would like to remain on the Friends of Furnivall mailing list (in which case we will retain only your name and email address) or that you intend to rejoin within nine months (in which case we will retain your membership information for that period).

Your rights

You have a number of rights under applicable data protection legislation, including:

● Right of access: you have the right to obtain from us a copy of the data that we hold for you.

● Right to rectification: you can require us to correct errors in the data that we process for you if it is inaccurate, incomplete or out of date.

● Right to restrict or object to processing: in certain circumstances, you have the right to require that we restrict the processing of your data if you believe our processing impacts on your fundamental rights and freedoms. We may, however, demonstrate that we have legitimate grounds to process your data notwithstanding your rights and freedoms.

● Right to be forgotten: you also have the right at any time to require that we delete the data that we hold for you. This might, however, mean that we can no longer allow you to remain a member of the Club since, for example, some of that information might be essential to managing your membership.

We are not responsible for the protection and privacy of any information which you provide whilst visiting these sites and these sites are not governed by our privacy statement.
